Clear terms,before the journey.
This page sets out the Stillaways operating approach. Trip-specific supplier terms are shared with your written option before payment.
Booking approach
Stillaways is request-to-book. Sending an enquiry does not create a reservation, hold inventory, or require payment. A trip becomes confirmed only after the final written plan is approved, the selected suppliers are rechecked, the applicable advance is received, and Stillaways sends confirmation.
Trip-specific terms
The written quote identifies the selected stay, transport arrangement, dates, group, inclusions, exclusions, price, payment schedule, and supplier-specific terms. Those trip-specific terms take priority where they are more detailed than this website summary.
Pricing and payment
Prices displayed on the website are indicative starting points unless expressly described otherwise. The final price depends on dates, group, live availability, room choice, transport, and requested additions.
- No payment is taken through the enquiry form.
- The advance and balance schedule are shared before confirmation.
- Use only the payment instructions included in the verified Stillaways conversation or written confirmation.
- Any price change caused by a requested revision is shown before that revision is confirmed.
Cancellations, refunds, and changes
Cancellation, refund, date-change, and no-show terms depend on the selected hotel, cab supplier, travel dates, and time remaining before departure. The applicable terms are provided in writing before the booking advance is collected.
Requested changes remain subject to availability and may create supplier charges or a price difference. Stillaways will explain that impact before processing the change.
Responsibilities and trip support
Stillaways coordinates the travel services identified in the confirmed plan and supports issues relating to those arrangements. Hotels, transport providers, and activity operators deliver their respective services under their own operating and safety responsibilities.
Travellers are responsible for accurate passenger details, valid identification, timely arrival at agreed pickup points, personal health and travel decisions, and following property or supplier rules. Events outside reasonable control may require an alternative, reschedule, or other remedy governed by the relevant supplier terms.
Privacy Notice
Stillaways collects only the information needed to respond to enquiries, assess trip fit, prepare quotes, confirm bookings, support travel arrangements, and maintain essential business records.
Information you may provide
- Name, WhatsApp number, and optional email address.
- Destination, dates, pickup area, group details, budget, and travel preferences.
- Children ages, dietary needs, accessibility considerations, or other information you choose to share only when relevant to planning.
How information is used and shared
Information is used for the requested planning and booking conversation. Relevant details may be shared with shortlisted or confirmed hotels, transport providers, or other suppliers only where needed to quote, verify availability, or deliver the requested service. Stillaways does not sell enquiry data.
Information about other travellers
If you provide details about a child or another traveller, you should have authority to share that information. Avoid sending medical documents or other sensitive records through the website form. Share only the practical accommodation, food, or mobility information needed for the requested trip.
Retention and requests
Temporary website drafts created after a validation or mail error expire after ten minutes. Unconverted enquiry conversations in operational channels are normally scheduled for deletion within 12 months. Confirmed booking, accounting, dispute, safety, or fraud-prevention records may be kept longer where an applicable legal or operational obligation requires it.
To request access, correction, withdrawal of consent, or deletion where applicable, email hello@stillaways.com with the subject “Privacy request”. Consent can be withdrawn at any time without affecting processing already completed lawfully. We verify the requester before acting and record the outcome.
Service providers and data locations
The live service uses Hostinger for website hosting and email delivery, WhatsApp and Meta systems for messaging, and Google Analytics for consented usage measurement. Relevant trip details may also pass to hotels, transport providers, or activity suppliers needed for the requested quote or confirmed trip. Google Analytics receives usage events only after the visitor accepts analytics.
Some technology providers may process information outside India under their own infrastructure and contractual terms. Stillaways limits each provider to the information needed for its role and updates this notice when the live provider set materially changes.
Security and incident contact
The production website is required to use HTTPS. The theme also applies restricted form inputs, request verification, rate limiting, and limited-duration error drafts. Operational access to email, WhatsApp, hosting, and booking records should be restricted to authorised users and protected with strong authentication.
If you believe personal information has been exposed, misdirected, or used unexpectedly, contact hello@stillaways.com with enough detail to investigate. Do not include identity documents or sensitive medical records in the first message.
